Designing in Canva for Print: The Essential Pre-Export Checklist

Canva has fundamentally transformed the way small business owners, marketing managers, and creative teams produce visual content. It is fast, intuitive, and packed with flexible templates that allow anyone to create attractive visual assets in minutes. At Print Lord, we love Canva. However, moving a design from a backlit computer screen or smartphone to physical paper is where the magic (and occasionally the mayhem) happens. What looks crisp, vibrant, and perfectly aligned on an illuminated monitor does not always translate directly onto ink and cardstock. Physical print lives in a world of precise paper sizes, mechanical trimming, ink absorption, and high-resolution dots.

If you have ever picked up a freshly printed batch of flyers only to find thin white borders down one side, fuzzy pixelated images, or contact details clipped off by the guillotine, you have experienced the friction between digital design and physical production.

The good news is that Canva provides all the controls you need to create flawless print-ready files. You simply need to know which toggles to flip and which settings to check before hitting the download button. Here is our essential pre-export checklist to ensure your Canva designs look as majestic on paper as they do on screen.

1. Confirm Your Page Dimensions First

One of the most common mistakes when designing for print is selecting a generic template without checking its exact millimetre measurements. Canva offers templates titled simply “Flyer” or “Poster”, but these often default to North American paper standards (such as US Letter) rather than standard UK metric sizes like A5 (148 x 210 mm) or A4 (210 x 297 mm).

If you design an asset on US Letter proportions and send it to a UK commercial printer, the artwork must either be stretched, leaving distorted fonts and graphics, or scaled, leaving unwanted blank space at the top and bottom.

Before adding a single photo or headline, start by setting your custom dimensions in millimetres:

  • Click Create a design in Canva.
  • Choose Custom size.
  • Change the unit drop-down menu from pixels (px) to millimetres (mm).
  • Input the exact physical dimensions required for your print job (for example, 148 x 210 mm for A5).

If you are using Canva Pro, you can use the Magic Switch tool to resize an existing design, but always review every page manually after resizing to fix shifted text boxes or misaligned graphic elements.

2. Activate Bleed and Safety Margins in Canva

In commercial printing, paper sheets are printed on large master sheets and then cut down to final size using high-speed industrial guillotines. Because paper can shift fractionally during printing and cutting, artwork must account for tiny mechanical tolerances.

To prevent two major printing disasters, awkward white edges and cut-off text, you must turn on Canva’s built-in print guides.

Go to the top menu in Canva, select File, navigate to View settings, and turn on two essential options:

  • Show margins
  • Show print bleed

Understanding Safety Margins

When you turn on Show margins, Canva displays a thin dashed rectangle inside your design canvas. Every piece of critical information, including phone numbers, website addresses, logos, and key promotional headlines, should remain safely inside this dashed line. As a rule of thumb, keep vital text at least 4mm to 5mm away from the edge of the paper. This ensures that even with slight cutting movement, your crucial information stays intact and readable.

Understanding Print Bleed

When you turn on Show print bleed, Canva expands your canvas border outward by 3mm on all sides. Bleed is the background artwork that extends beyond the final cut line. If your design features a solid background colour, a pattern, or a full-bleed photograph, you must manually stretch those background elements all the way out to the outermost bleed border. When the guillotine cuts along the trim line, it cuts through ink, leaving a clean, edge-to-edge finish with zero accidental white paper showing.

3. Check Image Quality and Resolution (The 300 DPI Rule)

Digital screens display images using light at a resolution of 72 pixels per inch (PPI). On a glowing laptop screen, a 72 PPI image can look perfectly sharp. Commercial printing presses, however, apply physical ink using tiny dots at a density of 300 dots per inch (DPI).

If you use low-resolution images downloaded from websites, social media channels, or quick web searches, they will appear blocky, fuzzy, and pixelated when printed on physical card stock.

To guarantee crisp photo reproduction:

  • Always upload original, high-resolution photography files directly from cameras or professional asset libraries.
  • Avoid pulling compressed images off Facebook, Instagram, or WhatsApp.
  • If you zoom into your design on screen at 100% scale and the image looks slightly soft, it will look twice as soft on paper.

4. Review Text Contrast and Font Legibility

Typography on paper behaves differently than typography on a lit screen. Fine light fonts that look elegant on a bright 27-inch display can disappear or bleed into dark backgrounds when printed on uncoated paper stock.

  • Keep body copy text clean and legible.
  • Ensure strong contrast between your text colour and the background. Dark text on light backgrounds is always easiest to read.
  • Avoid using tiny font sizes for vital contact details. As a guide, main body copy should rarely drop below 8pt, and address lines or legal disclaimers should stay above 6pt.

5. Export the Correct PDF Format for Print

When your design is complete and thoroughly proofread, downloading the correct file type is the final crucial step. Canva offers several export options, but only one is built specifically for high-quality commercial printing.

When you click Share and then Download:

  1. Select PDF Print from the File Type drop-down menu (do not select PNG, JPEG, or PDF Standard).
  2. Check the box marked Crop marks and bleed. This automatically adds cut lines and extends your bleed area into the final print file.
  3. If you have Canva Pro, choose CMYK (best for professional printing) as your colour profile. If you are using free Canva, your file will download in RGB, but do not worry, Print Lord automatically preflights and converts RGB files to CMYK before production to ensure colours remain accurate.
  4. Click Download and save your print-ready PDF file.
